How To: Complete a Work Report
Viewing Assigned Work
Through the Work Tasks the user can see the work assigned to them, with a short description of what maintenance is needed, the estimated cost of the maintenance and the priority of completing the work order.
Left clicking on the MaintID column, the user is able to see the work order for the work. Right clicking will allow the user to see more detail about the work, as well as the ability to edit if the user has the appropriate rights.
Clicking on the AssetID column the user can see the details about the primary asset that the work is for.
Completing a Work Order
Once the user has opened the work order, they will begin entering detailed information about the completed maintenance. Such as: comments, description of work performed, hours and minutes the work took to complete, company/contractor where applicable, estimated cost, date completed and indication if follow up is required.Upload Files
To upload a file, click the Add Files button and select the file or files from your device that you want to attach to the report. Once added, click the Start Upload button which will attach the files to the report.Parts
To add a part that has been used during the course of executing the work, choose the part from the dropdown under the Parts heading. Once selected, enter the quantity used in the text field to the right. If you used more than one part during the execution of the work, click the add button in the Parts section and repeat the above process.Procedure
The procedure is the primary work checklist that is required to execute the work. Check any fields where the work was completed prior to submitting the report.Description of Work Performed
This section is to describe the work performed so that what was done is better understood by the approver as well as creating a history so that future executors of similar work have this valuable information.Comments
This section is available for any additional information that the user feels is valuable to add to the report. This often includes improvements to the procedure or description, or may be a description of the surrounding environment and any issues that may exist.Labour
Anyone that performed work as a part of the primary execution of work should be included in the labour section. To add a person choose the person's name from the dropdown under the Labour heading. Once selected, enter the hours or minutes used in the text field to the right. If more than one person was involved during the execution of the work, click the add button in the Labour section and repeat the above process. If part of the time for an individual was overtime and a part was regular time, add two rows for that person with one checked as overtime and the other not.
If the report is incomplete and needs to be completed another day, the caretaker can simply save the report and continue editing at a later date. Once all relevant information has been filled, click the complete button .
